Applicant Data-Protection Notice Template
A ready-to-copy notice for managers who collect applications via The Pending Agency
When you publish a listing and accept applications through The Pending Agency, you are the controller for the application data you receive — and applicants must be informed about how their data is processed (see our Terms of Use, § 9.4). The template below covers the essentials. Copy it, replace the highlighted placeholders with your own details, and paste it into your job description or application materials.
Data-protection notice for applicants
Applications for this listing are submitted and managed via The Pending Agency (agency-tp.com), a platform operated by The Pending GmbH. The Pending GmbH processes your application data on behalf of the listing owner.
The controller responsible for your application data is [manager / company name], [postal address].
Your application data (profile details, uploaded files, and messages) is processed to manage and decide on your application (Art. 6(1)(b) GDPR). It is stored for the duration of the application process and deleted afterwards, unless you agree to longer retention or statutory retention duties apply.
You have the right to access, rectify, and erase your data, to restrict or object to its processing, and to data portability. To exercise these rights, contact [rights contact email]. You also have the right to lodge a complaint with a data-protection supervisory authority.
Details on how The Pending Agency platform itself processes data are available at https://agency-tp.com/privacy/.
Before you paste it
- Replace every highlighted [placeholder] with your own details — the notice is incomplete without them.
- This template covers the typical case and is provided as a convenience, not as legal advice. Adapt it if your processing differs (e.g. longer retention, talent pools, sharing with clients) and check it with your own legal counsel.
- Include the notice wherever you collect applications: job descriptions, application forms, or outreach messages.
